Do you have a template you could recommend? I have really tried to fit my records into spreadsheets and I just never seem to get something working for some reason. I think my brain is just not wired up for spreadsheets.

Fairly simple.

One sheet per pay cycle / month labelled accordingly.

One column for Transaction name, one for each account. I have two bank accounts and a credit card.

First row is the summary header which contains the sum of each column (balance), The second row is the column titles, the third row is the starting balance for each of the accounts at the date that the period starts.

All transactions are listed one per row. Name the transaction "shopping" and put the amount as a negative value in the relevant account column. If you are given money it's a positive amount instead. If you transfer money between accounts you put a minus in one column and a positive in the other one.

All reconciled transactions are marked with green background. All waiting for reconciliation transactions (just spent the money) are marked with a yellow background.

All budgeted items are added as rows at the start of the period as formulas so for example in my case `"food", "=-350"`. If I spend something on food, say `"corner shop", "-8.90"` and this value lands in cell B16, then the food budget item is changed to `"food", "=-350-B16"`. This reduces the food budget. The column sum balance doesn't change.

Been using this for about 5 years now. It's currently residing in Apple Numbers because I'm too cheap to pay for Excel and I have an iPad and it works entirely offline so I can use it when travelling to keep an eye on spending.

Once you have regular budget items identified keep a "template" sheet and just duplicate that at the start of the period/month or whenever. Mine has: approx salary, rent, taxes, internet, mobile phone, subscriptions, food, energy and travel budgets on it.

Actually I could see this being very popular for wedding planning; something inherently collaborative, with clear categories, that people are actively trying to budget to a specific number. I mean yes, numerous spreadsheet templates exist for this, but you're basically selling a pleasant interface (it does look great!).

I have a harder time imagining this for business use cases, unless maybe you really focus on the approval/reimbursement flows.

I don't understand the problem this solves. It appears this is for a business to track project expenses? Don't businesses use actual accounting software to track expenses, etc.? How does this reflect or compete with that? I don't think this makes any sense for personal finance.

While invoices will get tracked to a cost-center in the accounting package, usually project managers won't access this directly and will have their own spreadsheets to the side to manage plan vs actual (i.e. they may also need to think about spending, and will update the sheet as their estimated costs change, do baselines etc).

That's because lots of banking is still fairly manual, and clearing takes 2-3 days in the United States. FedNow should help, but ACH still reigns, and transactions still take time. Ask Congress and the banks why things are still so slow.

Wasn't Check21 supposed to alleviate some of that?

Or, at least, that was "the new thing" when I worked as a bank teller for a summer job 15 years ago. I vaguely remember it being promised as a way to make transactions faster.

Actual accounting software doesn't care about projects. You get a $10k invoice - now the question is what projects is it related to, what amounts...

Actual accounting software can certainly care about that. This is called operational or cost accounting (vs financial accounting, which would be accounts payable etc.)

This looks like way more work than just using a spreadsheet. Kanban don’t seem like the right abstraction for financial planning. How does this actually prevent budget overrun when nothing is automated? It seems like the data is only accurate if someone correctly enters it and drags the boxes into the appropriate columns. Well... Nice UI but... I track my finances with org-mode and Beancount/Fava for UI and well it's far more clear for me, not only because the current state of things but because the "new views" I can easily make.

Kanban was born to help mass produce mechanical parts, and for that's is very effective, but to follow or design things, like many do today, it's not good at all IMVHO...
